Considering Switching Your Club to ClubRunner Nova?  

Keep in mind a few things before switching from ClubRunner's Legacy version to their Nova version.

  1. Some formatting with images can be challenging. ClubRunner is working on tightening up the functionality so you need to be patient (or contact me and I can most likely figure out a workaround pretty quickly).
  2. If you have outstanding invoices in Dues & Billing Module, they will be consolidated. I recommend saving to PDF or printing out each invoice and the associated statement in case your member needs the individual invoice after the cutover.  They can be deleted when the invoice is paid.
  3. Emails that are schedule using the CR Legacy email module, can not be edited once you've switched to Nova.
    1. Since emails created in the previous version of ClubRunner were composed in the old editor, they cannot be opened in the new editor the same way, and have different options. ~ CubRunner Support
    2. If you're planning to switch, I recommend not composing emails ahead of time, unless you're confident they will not need changing.
    3. If you find yourself in Nova and need to change something on a draft or scheduled email created in ClubRunner Legacy, simply open the Legacy email and copy the subject and message.  Then create a new email and paste your subject & message into it.

ClubRunner Universal Login

Use the ClubRunner Universal Login to access and use all available features on the ClubRunner platform.

How do I use the ClubRunner Universal Login?

 

One login allows you to access your information on both your club's and your district's ClubRunner platform. This access is based on the access you're given. See your Club's administrator for more information.

Accepting Credit Card Payments on ClubRunner

Whether for the Dues & Billing module, collecting donations, or payment for admission to an event, your first step to receiving credit card payments will be to establish a merchant account for ClubRunner.

A) If you are on ClubRunner's legacy version, 

you will use Paya/Sage's merchant services.  

  • Download the latest Paya/Sage merchant account application (3/21/2024 PDF)
  • Complete all fields highlighted in blue
  • Sign pages 2 & 4
  • Make a copy or Scan your completed application (all 4 pages)
  • Make a copy or Scan a void check
  • Mail or Email
    • Mail to the address at the top of the application. This will take mailing time plus 5-10 business days. 
    • Email
      • Only if you need to expedite your application. Let me know and I can get you the email address.
      • Once emailed, it will take 5-10 business days (Paya/Sage setup then ClubRunner connects it to your ClubRunner account)
  • You will know it has completed when you see it is Enabled (you will find something like this under your Cloud Event or Dues & Billing Setting tab >> Payment Options section but "Changeover" will be replaced with your Paya Account Number).


 

PCI Statement:

  1. Create a new page on your website for your club's PCI Compliance Policy.
  2. Copy the Credit Card/PCI Compliance Policy from the District's website to the page on your Club's website.
  3. Create a link in your footer to your club's PCI Compliance Policy page.

Event ticket sales: 

While you are waiting for your Paya Account to become active, you can set up the ticketed event using ClubRunner's Cloud Event (do not use the other "event types" like MyEventRunner). 

I recommend reading these ClubRunner guides first.

B) If you are using ClubRunner Nova, 

you have the choice of using Paya/Sage (as above) or other merchant accounts such as PayPal or Stripe.

C)  If you have two (2) checking accounts,

say one for your club and another to accept donations/fundraisers/sponsorships, you can set up two Merchant Accounts. Separate applications need to be submitted, one for each checking account.
