District Bookkeeper Wanted:

The District leadership is seeking someone who would be interested in working with our current District Treasurer Bob Nolan in learning the roles and duties of a District Bookkeeper, who would work with Bob in conjunction to Treasurer duties..  Below are 2 position descriptions -- one for Bookkeeper and one for Treasurer.  Please review and if you are interested please contact Bob Nolan at: rnolan@nolanacctgctr.com or 414-425-9061

District 6270 Bookkeeper Responsibilities
Qualifications /Skills needed:
  • Experience and/or education in accounting procedures.
  • Familiarity in using Quick Books, Word, Excel software and the Internet. 
  • Must have computer / printer with current compatible versions of software.
  • Must be willing to learn and be familiar with how the Rotary District works
  • Estimated work time is 20 hours per month more/less.
 
Duties:
  • The Rotary District Treasurer will authorize payment requests.  Prints checks on a timely basis for the Rotary District Treasurer’s and other Rotary Officer’s signature, as needed.  Checks shall be generated only after approval by the Treasurer.
  • Invoice and collect the Rotary semi-annual dues /assessments from all clubs in the District.  Deposit these funds in the proper bank account at the direction of the Treasurer.
  • Answer all questions relating to the book entries involving funds deposited and disbursed.
  • Participate with the Treasurer in reconciling the monthly bank statements.
  • Prepare and furnish to the Treasurer monthly financial reports, including balance sheet, income statement and general ledger, at least one week before the quarterly District Executive Committee.
  • Keep a file of all deposit statements, reconciled bank statements, reimbursement forms with attached receipts and all correspondence relating to financial matters that are received by the District.
  • Assist the Treasurer in keeping track of the District Governor’s expenses and submit those expenses to Rotary International for proper reimbursement.
  • Assist the Treasurer in handling all funds for the district Youth Exchange and Grants, both Global and District and other related programs. 
  • Perform any other related duties as directed by the District Treasurer.
 
Other
  • Initial term of appointment will be 2 years with renewal options, as mutually determined by the Treasurer.
  • A stipend may be paid as determined by the District Executive Committee.
  • The bookkeeper may collect reimbursement for postage, paper, ink cartridges and other necessary supplies to keep books upon submission of receipts and reimbursement form.
  • The District Treasurer has the authority to hire and terminate the appointment of the bookkeeper with the approval of the Executive Committee.
  • The bookkeeper is a non-voting member of the District Executive Committee and may be required to attend the Executive Committee meetings in the Treasurer’s absence.
District 6270 Treasurer Responsibilities

  • Must be familiar with how the Rotary District 6270 functions.
  • Must have good communication skills.
  • Must be a Rotarian in good standing.
 
Duties
  • Supervises, oversees and is responsible for the work of the bookkeeper.
  • Monitor and handle all funds of the District, including Youth Exchange program, Rotary Foundation programs of Grants, both Global and District and other programs.
  • Authorize all check payments from the bookkeeper for Treasurer and/or another officer’s signature.
  • Monitor all bank deposits of the District funds.
  • Maintain a list of all investment and checking accounts with account number and balance.
  • Keep track if the District Governor’s expenses and submit those expenses to Rotary International for reimbursement.
  • Is chairperson of the District Finance Committee.  To hold and conduct Finance committee meetings as needed.  At least one meeting is to deal with the determining of and preparation of the Annual District budget. 
  • Annual District budget is to be presented to the Executive Committee for tentative approval in advance of posting for the District Annual meeting notice.  Then annual budget shall be shared with all District Rotary Clubs within district timeline for approval at District annual meeting.
  • Provide all required information to the audit firm for the preparation of an annual review of the District Financial books.  This may also include the selecting of an audit firm to do the review.
  • Is responsible for preparing or having prepared the required annual exempt organizational report (Form 990) to be submitted to the IRS by November 15 each year.  File any other additional reporting forms as required.
  • Prepare reports needed for District annual meeting.
  • Attend the district annual meeting at the annual District conference each year to present the prior years reviewed financial statements and be prepared to answer questions relating to the finances and reports of the District.
  • Perform any other related duties as directed by the Executive Committee.
 
 
Treasurer is a voting member of the District Executive Committee, which meets quarterly.  Prepare, attend and inform the Executive Committee with accurate and timely financial information.
